EXPERIENCE THE ENVIRONMENT

Shigakkan University is a private, coeducational institution located in Obu, Aichi Prefecture, Japan, with roots dating back to 1905. The university is known for its strong tradition in physical education and wellness, having produced multiple Olympic wrestling medalists, and today emphasizes an educational philosophy of “Capacity Building for Global Citizenship,” focusing on wellness, intellectual insight, social ability, self-development, and effective citizenship. Its programs center on wellness and sports- and health-related fields.

The World Academy of Sport (WAoS) is a global leader in sport education, dedicated to developing the next generation of sport leaders through innovative, values-driven learning. Working across major events, international federations, and academic institutions, WAoS delivers programmes that combine academic rigour with real-world application. Its approach emphasises leadership, integrity, and global citizenship, equipping participants with the skills, mindset, and experience required to succeed in the evolving international sport landscape.

The Games Campus concept is the base of the Games Experience Programme and at the heart of learning at Games-time.

Programme fees include tuition and accommodation as outlined in the relevant programme description. Prices are subject to change due to market conditions, exchange rate fluctuations, supplier adjustments, regulatory requirements, and/or individual participant needs.

Additional costs may apply, including but not limited to transportation, visa processing, meals, and optional programme components.

Chaperone accommodation is included at a ratio of 1:5 (one chaperone per five students). For groups with fewer than five students, please contact us for revised pricing.

The confirmed invoice issued upon enrolment and acceptance into the programme shall represent the final and binding programme fee.

References to the Aichi/Nagoya 2026 environment relate to contextual learning opportunities and do not imply official partnership or guaranteed access to restricted Games-time operations.


Programme elements, including accommodation, site visits, speakers, and scheduling, are subject to change based on availability, institutional requirements, and health, safety, or regulatory considerations.


All participants must comply with school travel policies, visa requirements, insurance conditions, and safeguarding protocols. Final participation is subject to confirmed registration, payment terms, and minimum enrolment thresholds.port.

Games Experience Programme (GEP)

Delivered by Shigakkan University and the World Academy of Sport (WAoS)

The safety, wellbeing, and dignity of all participants are central to the design and delivery of the Graduate Experience Programme (GEP). Shigakkan University and the World Academy of Sport are committed to maintaining a secure, respectful, and professionally supervised learning environment for all students.


The GEP operates under the following safeguarding principles:


1. Duty of Care

  • All activities are structured, supervised, and scheduled within clearly defined programme parameters.
  • A built-in supervision model provides a minimum ratio of one approved chaperone per five students.
  • Daily briefings, attendance checks, and clearly communicated expectations are embedded within the programme structure.


2. Safe Learning Environment

  • Programme activities take place within approved venues and campus facilities.
  • Students are accommodated in designated, organised accommodation arrangements.
  • Clear codes of conduct apply to all participants and staff.


3. Staff & Partner Responsibility

  • Programme delivery is managed by experienced educational and event professionals.
  • Staff and chaperones are required to adhere to institutional safeguarding standards and behavioural expectations.
  • Concerns relating to student welfare are addressed promptly through established reporting channels.


4. Student Conduct & Wellbeing

  • Participants are expected to:
  • Respect cultural norms and local laws
  • Follow school and programme behavioural guidelines
  • Act in a manner consistent with international student travel standards
  • Support mechanisms are in place to address wellbeing concerns, including pastoral check-ins and clear escalation pathways where required.


5. Collaboration with Schools

  • The GEP works in partnership with participating schools to ensure alignment with each institution’s safeguarding policies, travel approvals, and risk management procedures.
  • Shigakkan University and the World Academy of Sport recognise that safeguarding is an ongoing responsibility. Continuous review of operational procedures, supervision structures, and risk mitigation strategies forms part of the programme’s commitment to student protection and responsible international education delivery.



Game Experience Programme (GEP)
Terms & Conditions – School Group Registration


1.    Introduction
The Graduate Experience Programme (GEP) is delivered by the World Academy of Sport (WAoS) in partnership with Shigakkan University. The programme includes academic sessions, industry engagement, accommodation, and cultural experiences.
These Terms and Conditions ('Agreement') govern the participation of students in the GEP. By authorising a student’s participation, the school acknowledges and agrees to the provisions outlined below.
2.    Eligibility
•    Students must typically be aged 14 and above at the time of travel[LZ1.1].
•    Students must be enrolled through their schools.
•    Participation is subject to approval by both the school and WAoS

3.    School Responsibilities
By registering, the school agrees to:
•    Nominate a lead contact responsible for all communication.
•    Ensure all student participants meet eligibility and behavioural requirements.
•    Provide appropriate supervision, including the agreed chaperone-to-student ratio (typically 1:5 unless otherwise agreed).
•    Ensure all submitted student information is accurate and complete, including medical, dietary, emergency contact and safeguarding information.

4.    Chaperone Requirements
•    Schools must provide qualified chaperones for the duration of the programme.
•    Chaperones are responsible for student welfare, conduct, and adherence to programme rules.

5.    Fees & Payment
•    Full programme fee and applicable payment deadlines will be specified in the invoice issued by WAoS.
•    An Early Bird discounted fee applies only if full payment is received on or before 31 May 2026.
•    Registrations confirmed after this date will be subject to the full programme fee.
•    A student’s place on the GEP is only secured upon receipt of the required full payment.
•    Failure to meet payment deadlines may result in cancellation of places.

6.    Cancellations & Refunds
•    No refunds will be issued for non-attendance, late arrival, or early departure.
•    School-Initiated Cancellation


Where a school withdraws a student from the GEP, the following refund policy applies:
o    On or before 31 May 2026: Full refund of fees paid, minus any non-refundable administrative costs.
o    1 June 2026 – 31 July 2026: 50% of the total programme fee will be refundable.
o    1 August 2026 – 31 August 2026: 25% of the total programme fee will be refundable.
o    From 1 September 2026 onwards: No refund will be provided.
•    Replacement Students
o    Schools may nominate a replacement student at no additional cost up to 31 July 2026, subject to WAoS approval.
o    After this date, replacements may be accepted at WAoS’s discretion and may incur administrative charges.
•    WAoS-Initiated Cancellation or Changes
o    In the unlikely event that WAoS cancels the GEP, a full refund of all fees paid will be provided.
o    If significant changes to the programme are required, WAoS will notify schools promptly and offer appropriate alternatives or partial refunds where applicable.
•    Exceptional Circumstances
o    Refund requests due to exceptional circumstances (including serious illness, injury, or other unforeseen events) will be considered on a case-by-case basis.
o    Supporting documentation may be required.
o    WAoS reserves the right to determine the level of refund, if any.
•    Insurance and Unrecoverable Costs
o    Schools and parents/guardians are strongly advised to obtain comprehensive travel insurance covering cancellation and curtailment.
o    WAoS shall not be responsible for costs that are non-recoverable from third-party providers (e.g. airlines, accommodation, or activity operators).

7.    Travel & Insurance
•    Schools are responsible for arranging travel to/from the programme location.
•    Comprehensive travel and medical insurance are mandatory for all participants (students and staff).
•    Proof of insurance must be provided prior to programme commencement.

8.    Safeguarding & Duty of Care
•    WAoS maintains safeguarding policies aligned with international standards.
•    Schools must ensure students understand and comply with safeguarding expectations.
•    Any safeguarding concerns must be reported immediately.

9.    Code of Conduct
•    Students, chaperones and staff must behave respectfully and comply with all local laws and programme rules.
•    WAoS reserves the right to remove any participant for misconduct, at the school’s expense.

10.    Health & Medical
•    Schools must disclose all relevant medical, dietary, and accessibility requirements in advance.
•    Students must be fit to participate in all programme activities.
•    WAoS is not liable for issues arising from undisclosed conditions.

11.    Visas & Documentation
•    Schools are responsible for ensuring all participants have valid passports, visas, and entry documentation.
•    WAoS will provide supporting documentation where required but is not responsible for visa outcomes.

12.    Programme Changes
•    WAoS reserves the right to amend programme content, schedule, or speakers where necessary.
•    Equivalent alternatives will be provided where possible.

13.    Force Majeure
WAoS shall not be liable for any failure or delay in the performance of its obligations where such failure or delay results from events beyond its reasonable control (“Force Majeure Event”).
These events may include, but are not limited to: natural disasters, extreme weather, pandemics or public health emergencies, war or civil unrest, government restrictions, travel disruptions, or industrial action.
In such circumstances:
•    WAoS reserves the right to modify, postpone, or cancel the programme or any part of it.
•    Reasonable alternatives, including revised dates, locations, or virtual delivery, will be offered where possible.
•    WAoS shall not be responsible for additional costs incurred by schools or participants, including travel or accommodation.

Any refunds or credits will be determined at the discretion of WAoS, taking into account recoverable costs. Where feasible, partial refunds, credits, or transfers to future programmes may be offered.
14.    Liability
•    WAoS shall not be liable for loss, damage, injury, or delay except where required by law.
•    Schools accept responsibility for participant behaviour and any resulting consequences.

15.    Media & Marketing
•    WAoS may capture photographs and videos for promotional use.
•    Schools must notify WAoS in writing if any participant cannot be included.


Games Experience Programme (GEP)

Terms & Conditions – Individual Student Registration


1. Eligibility

  • Students must meet the age and academic requirements specified for the programme.
  • Participation is subject to acceptance and availability.

2. Registration & Payment

  • A completed registration form and payment to their related school are required to secure a place.
  • Failure to pay may result in forfeiture of the place.

3. Cancellations & Refunds

  • Refunds are subject to a staged cancellation policy from the school.
  • No refunds will be provided for non-attendance or incomplete participation.

4. Travel & Insurance

  • Students must arrange (or be covered for) travel to/from the programme.
  • Comprehensive travel and medical insurance are mandatory.
  • Proof of insurance must be provided prior to participation.

5. Health & Medical Disclosure

  • Students must disclose all medical conditions, allergies, and medications.
  • Participation confirms the student is medically fit to attend.
  • Emergency medical treatment may be administered if required.

6. Code of Conduct

Students agree to:

  • Behave responsibly and respectfully at all times.
  • Follow instructions from programme staff and chaperones.
  • Comply with local laws and cultural expectations.

Misconduct may result in removal from the programme, notification of parents/guardians, and return home at the participant’s expense, with no refund.

7. Accommodation & Supervision

  • Students will stay in accommodation arranged by WAoS or its partners.
  • Roommate preferences will be considered but are not guaranteed.
  • Students must adhere to curfews and supervision requirements.

8. Safeguarding

  • WAoS is committed to providing a safe and supportive environment.
  • Students must comply with safeguarding policies and report concerns.

9. Visas & Documentation

  • Students are responsible for valid passports, visas, and required documentation.
  • Failure to obtain necessary documentation does not qualify for a refund.

10. Programme Changes

  • Programme details may be adjusted where necessary.
  • Equivalent alternatives will be provided where possible.

11. Personal Property

  • Students are responsible for their personal belongings.
  • WAoS is not liable for lost, stolen, or damaged items.

12. Force Majeure

WAoS shall not be liable for disruption, delay, or cancellation caused by events beyond its reasonable control (“Force Majeure Event”), including but not limited to natural disasters, pandemics, government restrictions, or travel disruptions.

In such cases:

  • The programme may be modified, postponed, or cancelled.
  • Alternative arrangements will be offered where reasonably possible.
  • WAoS is not responsible for additional costs incurred by participants.

Refunds or credits will be considered at WAoS’s discretion, based on recoverable costs. Where feasible, partial refunds or transfers to future programmes may be offered.

13. Media Consent

  • By registering, students and parents/guardians consent to the use of images/videos for promotional purposes unless they opt out in writing.

14. Liability Waiver

  • Participation is at the student’s own risk.
  • WAoS shall not be liable for losses or damages except where required by law.
